Synchronize
Synchronizing allows you to upload data from iCity to HRISMyWay. Synchronize data:
- When you first set up HRISMyWay.
- On a regular schedule thereafter. Synchronizing immediately after each pay period is recommended. Payroll calculations update accruals, which need to be synchronized to HRISMyWay to maintain accurate bank balances.
- As needed.
Preventing data duplication
Renaming certain records can result in data duplication that requires manual correction. Duplication occurs if you rename a record in only HRISMyWay or only iCity and then synchronize data. This is because HRISMyWay and iCity have separate databases, and the synchronization routine associates records between the two databases by name.
Example: If you renamed a pay code in iCity only and then synchronized, a link between the two relevant database records would no longer be recognized. As a result, the existing pay code record in HRISMyWay would remain unchanged, and a new duplicate pay code record would be added to HRISMyWay under the new name given in iCity.
Example: If you changed an employee's ID in HRISMyWay but not in iCity, when you synchronized next, a new duplicate employee record would be added to HRISMyWay under the ID still current in iCity.
To prevent data duplication, it is important to follow best practices when renaming records. Generally, do not rename records unless you can rename them in both HRISMyWay and iCity. For examples of records that can be duplicated if you do not follow best practices for renaming, refer to the records listed in the Routines column at Routines > Synchronize.
Synchronizing data
To synchronize data, follow these steps:
Important: When you set up HRISMyWay for the first time, run all four synchronization types in the order they appear in step 2.
- From the main menu, select Routines > Synchronize.

Select an option from the Sync Type list. You can only select one option to run at a time.
Important: Always run synchronization types in the order they appear below, even if you are not running all types.
- Maintenance Records

Employee Records
- Employee Detail Records
- Version
- Select RUN SYNC. During synchronization, the message Synchronized Successfully appears next to each synchronized routine. Synchronization is complete when the RUN SYNC button no longer reads SYNCING.

To synchronize another type, repeat steps 2–3.
Viewing logs
To review synchronization history, select Sync Logs.
