Requesting time off
To request time off, follow these steps:
- From the main menu, select Time Off.
- On the Requests pane, select Request Time.
-
Complete the following fields:
- Employee: If you have permissions to enter time for other employees, select the required employee. Otherwise, your name appears in this field.
- Start Date: Enter a start date.
- End Date: Enter an end date.
-
Time Off Type: Select a type (for example, vacation or sick time). This selection controls the pay code used.
Note: If you select a time off type and the Paycode field remains blank, contact your payroll administrator. They should confirm that the correct pay codes are enabled for the paycode assignment code set on your employee profile.
- Note: Enter any applicable notes.
- Amount: Review the hours for each day. Any holidays in the selected date range appear and are set according to your municipality's policy. Additionally, the hours consider your assigned work week. For example, if you work three days per week, you cannot enter time off that exceeds those hours you are typically scheduled for.
-
Select Submit. A message sends to your approver with your request dates and any notes. The following occurs when your approver actions the request:
- If you have notifications enabled in your profile settings, you receive a notification when your approver approves or rejects the request.
- If your request is approved, the time off shows on the relevant timesheet.
- If your request is rejected, the time does not appear on the relevant timesheet. Instead, the rejected request appears on the Alerts pane on the home page.
Notes:
- You can still request time off even if you will not have earned it yet. It is your approver's responsibility to approve or reject your request. For example, if you will earn four weeks this year and you want to use it all in the summer, you may have an arrangement with your manager that you can take the vacation before it is earned.
- If you request time off but do not actually take it, it still appears on your timesheet until you remove it. To remove it, cancel the request using the instructions in Managing time off requests.
- If you have access to the Setup module, you can check who approves your timesheets and time off requests. In your profile, on the Job tab, check your department. Then, in Setup > Approvers, check who the approver is for your department. Any approver exceptions set up for individual employees appear here as well.
